The practice of keeping regular backups of your cashbook is strongly recommended. To help you do this, Cashbook Complete will remind you periodically. Backups can be carried out at any stage by clicking on the file menu, and selecting backup.
When the backup screen appears, it will tell you when your cashbook was last backed up, allow you to specify how often you wish to be reminded to do backups, and specify the folder to which the backup should be stored.
Backup to USB Memory Stick
Backing up to a USB memory stick is just as easy, and is more reliable than backing up to a floppy disk. To backup to a USB memory stick device, make sure the device is plugged into a USB port. Once it's plugged in, Windows will assign it a drive letter. Generally Windows will assign the same drive letter to the device, but it is possible for it to differ. You will need to make sure that the backup folder in the Cashbook Backup dialog is correctly set to the drive letter that Windows has assigned to the USB device.
Before removing the USB device, always click on the
icon in the system tray to make sure the device is ready to be removed.
If you do not perform this step, you risk losing data.
Backup to Floppy Disk
Warning :- Any existing data on the floppy disk(s) that you insert for the backup will be deleted, and then saved over with the backup data.
If you choose to backup to a floppy disk then use two or more disks and rotate them so that you will always have a current and a past backup. For your security, backup files should be kept in a safe place away from your computer, away from heat and away from magnetic fields.
If your backup spans more than one floppy disk the files will be named <filename>.001, <filename>.002 etc. These files can only be restored by using the Restore function of Cashbook Complete.
Backup to a File Server
If backups are saved onto a file server, then the cashbook file will be copied
directly. Please make sure that the server is regularly backed up.
Please note that the files (Word / WordPad) created by the Quotes module are not backed up
by this procedure, and need to be backed up separately if they are important documents.
Backup to CD-ROM
If you want to do a backup onto CD-ROM, then you only need to save the <Company Name>.CB files in the Cashbook Data folder (by default is found under My Documents). All the cashbook information including the registration information is stored in those files. If you can't see any .CB files, then you probably have the viewing of file extensions turned off, and you will need to turn them on.
You should only restore a data file if the data is corrupted beyond repair, or has been lost for some reason. Once you've restored a backup file, all your current data will be replaced with the old data from the backup.
To restore a data file, click on the file menu and select restore from backup. You will be presented with the restore dialog. The below will help you make sure you are able to restore from the correct media. If you are unsure where to restore from, then click the browse button to find where your backups are located.
Restore from USB Memory Stick
Plug the USB memory stick into a USB port on your computer. Windows will assign a drive letter to the device. Generally Windows will assign the same drive letter to the device, however it is possible for it to change it. For this reason, make sure the restore folder is set to the drive letter that Windows has currently assigned to the USB memory stick.
Before removing the USB device, always click on the
icon in the system tray to make sure the device is ready to be removed.
If you do not perform this step, you risk losing data.
Restore from Floppy Disk
To restore a backed up data file from floppy disk, insert the backup floppy disk into the computer. The restore path should be set to either A:\ or B:\ depending on how many floppy drives you have installed on your computer.
Restore from Other Media (file server, CD-ROM)
To restore from other media, you need to make sure that your restore path is setup correctly. Use the browse button to locate the folder if you need to.
Re-install Cashbook Complete
If there is a serious hard disk error or system problem with your computer you can re-install Cashbook Complete (after the problem has been fixed). After installation use the restore facility to restore all your data from your latest backup.
If you have problems restoring from a backup please click on Help from the Restore screen.
If an error message occurs like "The database is corrupt. Please Repair and Compact the Database" then you need to repair and compact the database. Select repair and compact from the file menu. The database can become corrupt if for example the power goes off while you are entering data. When you select this item, the cashbook and project costs are recalculated. It would be a good idea to repair and compact the database about once a month regardless of errors.
You can purge old data to reduce the size of your database. To do this click on the file menu, and select purge. To recover the disk space after the purge, you need to run Repair and Compact after doing a purge. It is recommended that you do a backup before purging, in case you change your mind.
